Submission Guidelines

To keep Deaf Where? a trusted, community-driven events hub, all submissions and reports are reviewed against these guidelines. Submissions that don’t meet our standards may be held for review, edited for clarity, or removed.

1. Before You Submit

Deaf Where? is a self-service platform. All events must be submitted directly by the organiser or someone officially representing them. We don’t accept event details by email or social media – please use the online form. This ensures listings stay accurate, fair, and community-led.

2. What Counts as an Event

An event qualifies for listing if the organisers demonstrate genuine ties to Deaf or signing communities – and it meets at least one of the following:

  • Deaf-led for Deaf people – organised by Deaf individuals or Deaf-led groups, with an environment designed by and for Deaf attendees
  • BSL-centric for signers – hosted by hearing or Deaf BSL signers for audiences who communicate in sign language
  • Hearing-organised with BSL access – run by hearing organisers who have established or emerging links to the Deaf community – and who provide professional BSL interpretation on the date listed. Events marked “BSL interpreted” must provide professional interpreters for the listed date, visible on your official event page.

Additional requirements (all submissions):

  • Public, dated & valuable – open to anyone (free or ticketed), scheduled at a specific date and time, and offering cultural, educational, social or professional enrichment for Deaf or signing audiences
  • Multi-date events – if an organiser provides BSL interpretation on at least one date of a series, you may submit the entire series – including dates that offer only captions; however, any date without BSL interpretation or captions must be excluded

Please note that we don’t accept the following:

  • auditions
  • job adverts
  • private / invitation-only activities

Also, please note that past or undated events cannot be listed.

3. No Spam or Excessive Self-Promotion

  • One listing per event – duplicate submissions for the same date, time and venue will be consolidated or removed
  • Strictly no spam – irrelevant links, click-bait or off-topic content will be rejected
  • Accurate contact details required – you must only submit events using your own name and email address, or with the organiser’s permission. Submissions made with someone else’s details without consent will be deleted
  • Balanced promotion – occasional listings by the same organiser are welcome – repeated advertising of unrelated products or services without clear community benefit may be removed and could lead to banning

4. Inclusive, Respectful Language

  • Plain, neutral wording – avoid jargon, slang or idioms that may confuse non-native English or BSL users
  • Gender-neutral pronouns where applicable (they/them)
  • Clear access notices – e.g. “BSL interpretation provided,” “Deaf-led event,” “BSL-centric gathering”
  • Zero tolerance for discrimination – any hate speech, ableist remarks or exclusionary language will result in immediate removal of the listing and possible suspension of the submitter. Avoid outdated or medicalised terms for deaf and hard-of-hearing people.

5. Moderation Process

Before clicking the ‘submit’ button, please ensure that:

  • your event includes a clear, high-quality image (at least 1200 px wide).
  • the “Visit event page” link goes directly to the event page, not a homepage, donation page, or broken link.

If the same event is submitted more than once (e.g. by multiple people), Deaf Where? may merge or edit listings to avoid confusion

This is what our moderation process looks like:

  1. Manual Review – our moderation team confirms organiser credentials, community ties and policy compliance within 48 hours
  2. Feedback & Notification – submitters receive an email when their event is approved, edited for clarity (with suggested edits) or rejected (with reasons)
  3. Appeals – if your event is rejected, reply to the notification with further information or documentation for a second review

6. How to Report Issues

If you spot incorrect details, spam or policy concerns – please contact us directly at support@deafwhere.events with:

  • the event name and date
  • a brief description of the issue
  • any relevant links or screenshots

Our team will investigate within 48 hours and take appropriate action – ensuring transparency and trust in Deaf Where?.

For privacy and transparency, please do not contact us via personal social-media accounts. Use support@deafwhere.events so we can track and respond to your report properly.

7. Reasons a Listing Might Be Rejected

We may reject or remove an event if:

  • it lacks confirmed Deaf access (e.g. no BSL or captions)
  • it uses another person’s details without consent
  • the date is in the past
  • it’s a job advert, audition, or internal meeting
  • it contains discriminatory or misleading language
  • the organiser repeatedly ignores requests to correct information

Deaf Where? exists for the community, but it only works with your help. Submit your event through the form and keep details up to date – that’s how we keep the site accurate, fair, and trusted.
